Yuletart FAQ

Welcome to the Yuletart Fanart Gift Exchange!

Yuletart is a multi-fandom holiday fanart gift exchange. While it was inspired by yuletide, we're not affiliated with it, although we do highly recommend it if you're an author rather than an artist.

Please see the FAQ below if you have any questions. Anything not answered here can be directed to the Yuletart Mods at yuletart [at] gmail.com.

What is Yuletart?
Yuletart is an anonymous giftart exchange that is held during the winter holiday season. It's a chance for fanartists across all fandoms to create art for fellow fanartists, receive art from their favourite fandoms and most of all have fun!

What do you define as "art?"
For this exchange, art is defined as traditional art/craft created from the ground-up by the artist ("fine" art, whether done in traditional media - pencils, textiles, food, etc - or via computer), as opposed to graphics, icons, photo manipulations and the like. We will not accept graphics or manips.

Who can participate?
If you are a fanartist of any skill level, you can participate!

Yuletart is in its fourth year and our goal is the same: promoting the joy of giving between fanartists. This includes ensuring that there is love and effort put into each gift. This way, we know the recipients will be delighted not only from fanart of their favourite fandoms, but also from the knowledge that a lot of caring was put into making their giftart.

In short, we would like to ensure that you dedicate time and thought to your submission in order to make it a giftart to be valued, enjoyed and appreciated by your giftee.

If you need suggestions in regards to technical aspects of the artwork, we encourage you to join the Livejournal comm artbeta, where fellow fandom artists will be happy to help you out.

Do I need an LJ to participate?
No! Although the giftart posting is done through the LJ community, the journal will remain public. Fandom Nominations and Sign-Ups can be done using anonymous. The Sign-Up form will be posted on the Yuletart LJ community.

What ratings of art are allowed?
Anything rated R or under. Please note that we will not accept artwork depicting minors in "adult" situations.

What fandoms are allowed?
Any fandom, no matter how small, is allowed here. Although we have now included the Harry Potter fandom, we do not intend to turn this fest into a high-traffic Harry Potter gift exchange. If you would like to participate in a HP-themed art exchange, we recommend hp_art_xchange.

How does it work?
1) Fandom Nominations on Livejournal for approximately two weeks.
2) Sign-ups for two weeks
3) Validation/Confirmation emails sent.
4) Giftart assignments will be given out
5) Time alloted to complete the art and submit it to the mods (About five - six weeks).
6) Art posted anonymously on Yuletart during December
7) Reveals in early January

What is Fandom Nominations?
During the Fandom Nominations period, past participant fanartists will have the chance to nominate up to 3 fandoms that are not yet on our previous Set List. At the decision of the Mods, the nominees will then be added to the Set List to be used during Sign-Ups. This will help ensure that everyone will get and create art for fandoms they know and love.

What is the Set List?
The Set List based on the Fandom Nominations and is used during Sign-Ups. Artists must choose a minimum of three fandoms (unlimited maximum) from the Set List that they'd like to receive art for. Fanartists can also list an unlimited number of 'wildcard' fandoms they'd like to receive art for during Sign-Ups.

What is a Wildcard Fandom?
A Wildcard Fandom is any fandom that isn't on the Set List. During Sign-Ups, fanartists can list an unlimited number of wildcard fandoms. NOTE: Artists are NOT required to use wildcard fandoms.

What is the point of a validation email?
After Sign-Ups, the Yuletart Mods will email asking you to respond and validate. We have encountered situations where our emails are sent to Spam folders or the email addresses are not checked, so we'd like to prevent this from happening again. If you do not respond to our validation email, your application form will not be confirmed - so please don't forget!

How do I sign up?
Sign-ups will occur around mid-September.

What is the fest schedule?
September 1 - 15: Fandom Nominations will be held on the Yuletart community. Fandom Nominations are for PAST PARTICIPANTS ONLY
September 20 - October 10: Sign-ups begin. We will not accept applications after 12 midnight, Pacific Time.
October 11: Validation emails from Yuletart Mods to ensure your email address is working. You MUST respond to this email within 72 hours in order to be confirmed
October 18: Assignments handed out no later than this date.
November 13: Drop-out notification deadline without penalty
November 23: Deadline for first-time participants' assignments until 12 midnight, Pacific Time
November 30: Deadline for past participants' assignments until 12 midnight, Pacific Time
December 07: Deadline for pinch hit assignments until 12 midnight, Pacific Time
December 04: Anonymous posting of giftart begins!
December 31: Anonymous posting of giftart ends!
January 04: Artists are revealed!

What is the Drop-out penalty?
Artists who drop out after the November 20th deadline or without notification will not be allowed to participate in future Yuletarts.

If my art is anonymous during December, how will it remain safe from art theft?
Only for the duration of the fest, the artwork posted on the Yuletart community will bear a tasteful, subtle watermark identifying it as Yuletart art. This watermark will be created by the mods. After the reveals in January, fanartists are free to sign/tag/identify their work and post it wherever they choose.

What does 'pinch hit' mean?
To volunteer to pinch hit means you'll draw a fill-in fanart, usually on short notice, for someone who has defaulted on their assignment. Pinch hitters are not always needed, but it is always nice for the mods to have willing back-up artists, just in case. Pinch hitters have our undying gratitude and are eligible for first dibs at Fandom Nominations for next year!

What are the Submission Guidelines?
Read them HERE

PLEASE NOTE: yuletart will be posting images that are approx. 800px in height and/or length. You are not obligated to resize your own work to fit this size, but for the sake of Mod-posting on yuletart, all posted art will comply to this size. This will help with consistent watermarking and anonymous-artist security during the fest. The artist is definitely welcome to provide their recipient with a larger (and signed!) version after the Yuletart fest reveals are up.

Who maintains the exchange?
Your moderators are bzzinglikeneon, glockgal and thoracopagus. Please direct any yuletart business to yuletart [at] gmail.com, not their personal journals.

I am excited too! *g*

Can't wait!

Hey, I just wanted to check this - is the Set List from this year built from this year's Nominations only, or are all of last year's Set List fandoms included this year?
Sep. 3rd, 2009 10:23 pm (UTC)
Hey! All of last year's Set List are included for 2009. Any new fandoms will just be folded in, giving the Set List more fandoms for people to choose from. :D
Sep. 4th, 2009 01:17 pm (UTC)
Fabulous. :D
Sep. 1st, 2009 05:55 pm (UTC)
Question: when we nominate fandoms, can people who plan to participate but haven't in the past support noms, or is that also only for past participants?
Sep. 3rd, 2009 10:24 pm (UTC)
Nope! Anyone can support the noms! I just realized this might not be clear, so we'll eventually make a new post to clarify. Looks like the Nominations are slowing down no anyway. :D :D

Sep. 2nd, 2010 11:39 pm (UTC)
Does this still hold? The 2010 post seemed to imply that only past participants can support nominations.

Also the faq says you can nominate 5 fandoms but the current post says 3 (though I only have 3 I want to nominate anyway :))
Sep. 3rd, 2010 08:14 am (UTC)
This may be my bad, as we've switched around some things administratively since last year. As it stands, only past participants can second nominations, but the mods are discussing it. If this changes, an update post will be made and the nominations post will be edited to reflect the change.

And the FAQ saying 5 is a typo, I'm fixing that now.

Thank you!
Sep. 4th, 2010 06:21 am (UTC)
Ok, cool, thanks.
Sep. 18th, 2009 05:22 pm (UTC)
I note that there's nothing about pinch-hits in the sign-up form this year. Will we have opportunities to sign up for pinch-hitting later? :)
Sep. 18th, 2009 06:25 pm (UTC)
Great question! Yeah, we decided to take out the 'Pinch Hit' question during sign-ups because it's difficult to keep track of it at this very early point.

The Mods figure that if and when we need pinch hitters, we'll put a call out then - that way, potential pinch hitters can make a better call about their schedule for the upcoming weeks! :D
Sep. 18th, 2009 06:34 pm (UTC)
Sounds good! :D I've always wanted to be able to volunteer, and this year I should be able to - I'm super excited.
Sep. 2nd, 2010 10:38 pm (UTC)
Oh yay there are at least 3 fandoms on the list I love :) I might just have to sign up this year :)
Sep. 2nd, 2010 10:58 pm (UTC)
OMG, I'm so excited! I can't believe we're already starting. :D

So I have a question about really big blanket fandoms, like the newly-designated "music RPF" fandom - how would that work for offering? I've never really been entirely clear on offering sections of a larger fandom (rather than just specifying, say, book or movieverse), but I doubt there are many people who could offer everything "music RPF" requests might potentially cover.

(This interests me also because I always ponder offering DC and Marvel comics, but my character knowledge for both of those is really random and specific. I worry about making overcomplicated offers!)
Sep. 2nd, 2010 11:06 pm (UTC)
The category is really just for the sake of sparing nominations. When you sign up, you'd list what you can give more specifically—This can be "bandom" or "popslash," but it would actually be easier for us if you take it a step further than that and name bands (This is what we've done with bandom in the past, as we found listing each band as a category was an administrative nightmare). Unless you're actually willing to give a very broad selection from one of those blanket categories (IE, even if you aren't that familiar, you'd do the research), we prefer you be as specific as possible about where your knowledge lies. More details make it easier for us to determine which matches are best.
Sep. 2nd, 2010 11:15 pm (UTC)
Okay, so longer/more specific offer lists are a plus, then. Thanks! :)
Sep. 2nd, 2010 11:17 pm (UTC)
Oh yes, and that applies across the board. If you have an affinity for specific characters or pairings, that's all really excellent to know.
Sep. 3rd, 2010 08:39 am (UTC)
So out of curiosity, does that mean I still have two nominations (since I was the one who nominated popslash, sparking that whole discussion in the first place)?
Sep. 3rd, 2010 08:41 am (UTC)
Yes! I'm sorry, I should have told you that when I replied.
Sep. 3rd, 2010 08:43 am (UTC)
It's cool. :) Thanks for letting me know!

*ponders what other two fandoms she could possibly nominate*

A lot of the older arts seem to be broken. They don't show up on the posts and finding the direct link from the source (http://www.like-neon.com/yuletart/d/117-3/yule28 was the latest one I tried, from http://community.livejournal.com/yuletart/14534.html here) leads to an error page that says this:

Thank you so much for the heads up! We will get the links fixed ASAP, but since sign-ups are our current priority, it may take us awhile to do.
Sep. 22nd, 2011 07:44 am (UTC)
Hey, everything okay there in Yuletart Mod Land? :) It just came to my attention that we were already into signups by this time last year and we haven't done nominations yet this year.
Oct. 5th, 2011 06:41 pm (UTC)
Hi! I was just wondering like the above commenter if there's going to be a Yuletart exchange? If not, I'd like to know so I can try to find another holiday exchange to join. :
